Design Assistant & Procurement/Expeditor​

 

The Design Assistant & Procurement/Expeditor will support the Principal and design team in both design projects and firm-wide initiatives. 

Qualified candidates should have 3 to 5+ years experience in a professional environment, preferably in the design industry. Must be an ambitious self-starter willing to take initiative within a diverse range of projects while operating in a fast-paced environment.

 

Primary Responsibilities Include: 

 

  • Assist Principal & design team in procurement process from generating specs & acquiring samples to purchasing approved items & receiving client payments 

  • Assist with site measurements, installations, & photoshoots

  • Assist with maintaining design studio equipment, samples, client project binders, files, & general organization

  • Assist with setting up new customers in project management software system & add information as it becomes available

  • Responsible for gathering & reviewing vendor quotes for accuracy, pricing, lead times, delivery etas & freight costs

  • Prepare client proposals for approval & purchasing

  • Process, review & expedite all client & vendor purchases

  • Confirm all aspects of orders & coordinate that all details are being handled in a timely manner

  • Review, update, and manage WIP (work in progress) reports and communicate with internal staff, vendors, and clients regularly

  • Liaison with receiving/storage facilities, vendors, and subs regarding: 

    • Resolve freight claims, in coordination with design team

    • Receive, open & inspect condition of all client items delivered to KBG Design

    • Coordinate and arrange product returns, as necessary

    • Coordinate delivery to respective locations

  • In coordination with Principal & Senior Designer(s), scheduling & coordination for installation of projects; Provide assistance as needed for project installations

  • Liaison with the Bookkeeper regarding:

    • Receipt of Client payments

    • PO deposits and final vendor payments

    • Accounts Receivable and Accounts Payable reports

    • Credits/refunds for canceled orders, returns and exchanges

 

Note, this is a growing design firm with unlimited growth potential for its team members.

This position is full-time, hourly, 40 hours per week. Compensation for this position depends on experience (DOE).

 

Skills and Experience Requirements:

 

  • 3 to 5+ years of experience in a professional environment; preferably the design industry or project management firm

  • Design degree preferred 

  • Excellent verbal & written communication skills; great customer service

  • A real team player; works well independently & with others

  • Excellent analytical & problem-solving skills

  • Extremely detail oriented & is passionate for accuracy in all deliverables 

  • Eager to learn & self-motivated

  • Knowledge of showrooms & vendors a plus 

  • Strong time-management skills across multiple simultaneous tasks & projects

  • Intermediate Excel skills

  • Working knowledge of Studio Designer a plus OR experience with Quickbooks

  • Proficient in Google Docs/Sheets/Slides & Mac OS a plus 

  • Having a good sense of humor is a must
